Project Administrator – Mega Living Landscapes (5 – Year Fixed Term Contract)

SANParks unveiled a highly ambitious vision, called Vision 2040, following a collaborative and inclusive process to re-imagine and co-create a new future for conservation areas with a concerted effort to include the citizens of the country and the world at large in the co-creation of National Protected Areas of the future within Mega Living Landscapes (MLL). In support of this vision, SANParks has secured grant funding from the Global Environment Facility (GEF-8) and the Global Biodiversity Framework Fund (GBFF) to catalyse the implementation of Mega Living Landscapes.

The Project Administrator will also report to the Senior Project Manager and will be based in Groenkloof National Park, Pretoria. The position is a 100% project-funded, dedicated role responsible for performing general administrative tasks and facilitating the efficient procurement of goods and services as may be required. The incumbent will also provide secretarial support as needed, including assisting with the preparation of reports, presentations, and correspondence. They will also maintain accurate and detailed administrative records.

Requirements

  • Minimum of 3 years’ experience in administration and office management environment.
  • Experience working on large-scale, complex, multi-stakeholder projects.
  • National Diploma in Business Administration / Project Management / Office Management.
  • Familiarity with relevant South African legislation, including the PFMA and National Environmental Management: Protected Areas Act.
  • Understanding of information technology.
  • Ability to interpreting and apply all policies, standards, and procedures.
  • Basic data analysis.
  • Understanding of procurement practices.
  • Attention to detail and accuracy.

Responsibilities

Administrative support:

  • Provide general administrative support to the project.
  • Act as the primary contact for the project.
  • Assist with administrative support for the implementation and monitoring of the project plan cycle and operational management.
  • Assume responsibility for working with project team members and maintaining accurate records for multiple projects.
  • Monitor the budget, track expenditures and arrange payment of invoices.
  • Operate diary systems, book meetings and appointments.
  • Assist in compiling reports and operational plans.
  • Assist with event planning and logistics.
  • Support project management and coordination of day-to-day administrative operations and special projects.
  • Identify, coordinate, and expedite the communication of information and issues within the SANParks PMU and interdepartmentally and externally with sub-recipients, the Project Steering Committee, the WWF US, the GEF Implementing Agency, and independent evaluators as necessary.
  • Maintain information and files on all project financial and administrative aspects, including agreements.
  • Ensure all project reports are acknowledged and routed to the appropriate individuals for review and in accordance with the delegation of authority.

Project management:

  • Coordinate all project activities.
  • Maintain relevant project data and general project records.
  • Participate in the preparation, prioritisation and delivery of all projects.
  • Assist with procurement processes.

Support for supervision missions:

  • Provide requested documentation and other assistance for WWF US and GEF Implementing Agency annual supervision missions.

R369 915.00 – R517 860.00 Annual Package
